We are seeking an experienced and motivated Administrator to join our Commercial and agency teams based in Birmingham. The post holder will take ownership of all relevant administrative duties which will enable the fee earners in this fast-growing team to focus on serving clients and developing new business.

KEY TASKS:

  • Produce accurate and well-presented documents including reports, client correspondence, presentations and spreadsheets within agreed time frames
  • Copy typing, and drafting of letters, reports, invoices, property particulars etc.
  • Processing invoices.
  • Formatting returned documents from Outsec (the digital dictation outsourced provider)
  • Input to diaries and organising meetings
  • Carry out timely and accurate administration of databases
  • Accurately process fee accounts and out of pocket expenses, assisting with budgets and forecasts as required
  • Provide a high level of efficiency and customer service to all who visit or contact the office
  • Provide general administration support to the office including other partners, managers and staff as reasonably required
  • Handling enquiries over the telephone or personally in reception and taking any necessary action
  • General office duties such as filing, photocopying, etc.
  • Maintain close communication with other administrators across different divisions to ensure the efficient running of the department at all times
  • Effectively liaise with other relevant professionals to maintain a sound working knowledge of all relevant areas of work
  • Support to the commercial agency team - maintenance of Agency Pilot a dedicated commercial property database and marketing tool
  • Preparation of marketing particulars, coordination and support of marketing initiatives, client and applicant liaison (by email and phone)
  • Knowledge and interest in the office and industrial property markets in the Midlands would be an advantage but not essential as training will be given
  • Support of the growing commercial agency

WHAT WILL IT TAKE TO BE SUCESSFUL?

We are looking for Administrator who is a team player but is also self-motivated and capable of problem solving for themselves. The successful candidate would also sit as part of the wider office administration team who whilst having their own areas of responsibility also work together on a number of cross divisional administrative roles. They will be competent in using various IT systems including the Microsoft office package.
